Voicemail setup
Voicemail lets callers leave a message when nobody picks up or when you're closed. You set it up per number, with a greeting for each situation.
Short on time? Let your AI assistant do it. Connect it to us and just tell it what you want, like "Set a voicemail greeting for when we're closed" or "Summarize today's voicemails". See the MCP guide. Prefer to do it yourself? Here's how.
Haven't set up your number yet? Start with the Quick-start guide.
Set up your greetings
You can use a voicemail greeting in three places. Just set the ones you need. New numbers already send callers to voicemail when you're closed, with a ready-made greeting you can change.
| When | Where to set it |
|---|---|
| Nobody answers in time | If no one answers |
| You're closed | When you're closed |
| Every call goes straight to voicemail | When you're open |
- Go to Settings and pick your number under Numbers.
- Open If no one answers, When you're closed or When you're open.
- Choose Go to voicemail.
- Write your greeting. We'll read it aloud to callers, and you can listen to it before you save.
- Save. Your next call gets the new greeting.
For If no one answers, you also pick how long the call rings before it goes to voicemail, under Ring for: anywhere from 15 seconds up to 1 hour.
Callers can leave a message of up to 5 minutes.
Typed text or your own recording
Type your greeting, and we'll turn it into speech. Prefer your own voice? Click Record greeting in the app, allow microphone access in your browser, and record it right there. A recording can be up to one minute.
A greeting can be up to 150 words or 1,500 characters, which is about a minute of speech. Shorter usually works better. For example:
Thanks for calling. We can't take your call right now. Leave your name and number, and we'll call you back.
Where your voicemails show up
New voicemails land in your Inbox with the recording and a written transcript, so you can read the message without playing it. Voicemails are always transcribed, even if transcripts are off for your calls.
If a recording is only silence or noise, with no spoken words, we remove it and show the call as a missed call.
Email notifications
We email each new voicemail to everyone on your team, with the transcript, a link to open it and a link to call back. The email goes to the address on each person's account.
Emails are on by default. Each person can turn them off for each business number:
- Go to Notifications in your account settings.
- Next to Voicemails, turn off Email for each number you don't need.
- Save.
Turn voicemail off
Voicemail is only on where Go to voicemail is chosen. To turn it off, just pick something else there:
- Go to Settings and pick your number under Numbers.
- Open If no one answers, When you're closed or When you're open.
- Choose another option, like a message before hanging up or a transfer to your colleagues.
- Save.
